Commericial Information Management - Document Management Systems
The Commercial Division focuses on the organizations marketing and global supply activities. The business unit is based around two hubs in Europe and Singapore, with marketers in over thirty regional offices. Operations include the procurement, sale and distribution of commodities in its global markets.
To support the marketing and global supply operations, the Commercial Information Management (IM) team provides a range of services encompassing business process management, system development and support, knowledge management and IT infrastructure support. Commercial IM is focused on understanding and managing business needs, determining information management strategy and plans, and managing vendors who provide the expertise to fulfill the strategy and plans.
POSITION SYNOPSIS
Reporting to the Knowledge Management Coordinator, you will be responsible for managing the ongoing development of the document management capability for the Commercial organisation. The objective of this role is to maximise the accessibility and value of information available to the business, and effectively manage legal and business risks associated with document management.
Primary amongst your duties will be as follows:
• Liaising with staff and managers in the Commercial business to understand their document management needs
• Developing, maintaining and implementing a Document Management Strategy (subordinate to the overall Knowledge Management Strategy) that is aligned to the needs of the operating business
• Managing internal and external service providers to deliver new services and systems in support of the Document Management Strategy
• Monitoring technical and business trends in the field of Document Management, and advising the marketing business accordingly
• Managing compliance to internal and external policies, standards, guidelines and legislation (eg. Privacy and document retention)
SKILLS & EXPERIENCE
As a minimum, you will have a Bachelor’s degree in business and/or computer science and at least 5 years experience in document management solutions and services. You will have in-depth knowledge of the principles and practice of effective document management, and well developed consultative skills that enable you apply this knowledge in partnership with business staff and managers. Fluency in English, both verbal and written, is essential.
You will have a solid understanding of document management best practices and related legal and compliance requirements, as well as a practical understanding of current and emerging business system technologies in the field of document management. Your experience will include the successful development and implementation of document management strategies and solutions which have resulted in tangible improvements to business operations. Preferably, you will also have experience with the document management tool Documentum.
As most technical services are outsourced you will have strong vendor management experience and skills, including requirements definition, tendering, contract negotiation, contract management and vendor relationship management.
